Tryout Player Selections are perhaps the most challenging, painful, controversial part of any sports program, club volleyball program, and it's also the case for Capital City Volleyball Club.
As fellow parents, the Executive Board, the Club Director, Club President, the Coaches, and the tryouts planning team attempt to make the tryouts, selections and invitations to play for CCVC as wonderful an experience as possible. While we endeavor to assure this, we offer no promises, no guarantees, nor can we provide the perfect condition to make our goal an absolute reality. The CCVC Club Director, Club President, Executive Board and the Coaches reserve the right to alter and adjust any of the guidelines as part of meeting the Mission of CCVC, on a case-by- case basis, and to do so without any pre-approval or pre-notification to parents, players or other coaches.
The following information is our attempt to share with current and prospective CCVC members the basic premise and guidelines for our tryout selection process. It also share some of the principles used in selecting and placing your child on a team.
For the upcoming season CCVC plans to field 22-24 girls Competitive Travel Teams (8-12 players per team) and 1-2 girls Development Teams (23-30 players per team).
However, depending on the number of players interested in playing for us, coaches available, and gym space secured, adjustments may be made to the final number of teams and the number of teams in any age group, after tryouts. Likewise, the coach assignments for any given team may be adjusted based on these same factors.
The Competitive Travel Teams are organized by -1, -2, -3, -4, - 5 levels and shall carry between 8 and 12-13 players, with / plus any practice players. There may be an occasion that the player quantity is revised to accomodate special circumstances and issues during any given season and on a case-by-case-basis.
Age levels for a team are determined by the age of the oldest player age as of September 1 of the current calendar year.
Like past seasons, players WILL BE permitted to TRYOUT to "play up" in an upper age group. The tryout selections, completed by the coaches will determine if a player is invited to "play-up".
Players ages must be in accordance with the Player Age Chart.
1. A Tryout Selection Committee will complete the player evaluations and selections, for each of the age group teams. The player evaluation and selection process will consist of three (3) phases as follows, with the applicable members noted as part of the Tryout Selection Committee in each phase.
- Phase 1 -Player tryout evaluation and rating (Lead tryout coach, the Club Director, evaluation coaches, other coaches)
- Phase 2 -Pre-selection review with player groupings by team / age, all based on the evaluations (Lead tryout coach, Club Director, Club President, two Coaches)
- Phase 3 -Final selections (Tryout Coach, Club Director, Club President, Evaluation Coaches) based on team level, player age, and team position needs (setter, middle hitter, defensive, etc.).
3. As part of the tryout process, the Phase 1 –Tryout Selection Committee will conduct an evaluation and rate each attending player. The rating will be determined through observations during the tryout skill centers as defined in the tryout plan. As part of the tryout process the rating of the players will be conducted using a player evaluation system and regularly reviewed with the evaluation coaches throughout the tryout.
4. The Phase 2 -Pre-selection and the Phase 3 -Final selection, for each respective player and team, will be discussed immediately following the tryouts. Ideally before the tryouts conclude for the day. These discussions will result in the preferred assignment of players to a team.
The basis of these selections is an objective player evaluation compiled by the evaluation coaches, the position needs of each team, as well as, subjective evaluations including athleticism, attitude, past experiences, player personality, team chemistry, player potential, etc.
5. INVITATIONS -Contact with players for selection on a team with a subsequent invitation by a coach may occur:
- Within hours following the tryout, or
- Within 1-7 days following tryouts, based on the acceptance of other players to participate with CCVC.
- Via the website for some of the Competitive or Development teams.
- top 10-12 players, then the
- next 13- 15 players and lastly
- 4-6 alternate players.
6. Should a player accept and then decline to play for CCVC, and elect instead to play for another area club or team; that player shall be disallowed from any CCVC tryout for a period of 12 months or 1 season, whichever is the longer duration.
7. Dues collected prior to the player changing their mind shall NOT be refunded. There are no exceptions. CCVC feels strongly about the integrity, ethics and commitment a player makes to play for CCVC. To make a commitment and then back out for another opportunity, impacts that players’ teammates, coaches and other players throughout CCVC. The consequences of this decision need to be clear and of equal proportion.
8. The player selections for each of the –1, –2, –3, -4, -5 and Development teams are as noted:
- The -2, -3, -4, - 5 level teams is preferred to consist of players all within the same age group, i.e. 12’s, 13’s, 14’s, 15’s, 16’s, 17’s, and 18’s.There may be an occasion that this guideis revised to accomodate special circumstances and issues during any given season and on a case-by-case-basis.
- The –1 level teams may consist of players in multiple age groups, i.e. a 15’s can play on the 16-1 team if selected, and a 16’s can play on a 17-1 team if selected.
- For the –1 level teams, a player shall not to “jump / play up” more than 1 age group; hence 15’s to 16’s, 16’s to 17’s is acceptable. A player moving from 14’s to 16’s, 15’s to 17’s, or 16’s to 18’s is not ideal; however, there may be an occasion that this guideline is revised to accomodate special circumstances and issues during any given season and on a case-by-case or team-by-team basis.
- Development teams have no specific age requirement; however, experience has shown the effectiveness of the season is greatest when both the best players are “grouped” on the same team, but also in the same age group.
- (Revised 8/25/07) All players whose parents are coaches and / or are elected officers (Executive Board members) of CCVC shall be guaranteed positions on either a Development team, a Competitive team as a competitive player or practice player, (with the team level determined by the coaches during the tryout evaluations), as a method of exchange for their service to the Club. Should only one team level exist within that player’s age group, then this player shall be guaranteed a position on that single team level.
- The selection process is very sensitive for CCVC, the coaches, players, and parents. Decisions will need to be handled with consideration for balance between what is good for CCVC, what is good for the team, what is good for the coach, and what is good for the player.
10. Each team shall carry a maximum of 11-12-13 players; however, there may be an occasion that the player quantity is revised to accomodate special circumstances and issues during any given season and on a case-by-case and the team-by-team basis. Also, the President and Club Director may determine it is an advantage to the Player, the Team and the Club, special accomodations may be made. The –2, –3, -4, -5 and –1 level player quantity varies as noted:
- Ideally, the –2, –3, -4, -5 levels shall have no less than 8 players and no more than 11-12 players, but, at the discretion of the coaches during the tryout selections, have the option of selecting 1, 2 or more additional members as "Practice" players. There may be an occasion that the player quantity is revised to accomodate special circumstances and issues during any given season and on a case-by-case and team-by-team basis.
- These practice players are invited onto the team to work with the coaches and other players during practices. This allows coaches to better “fill out the court” for internal scrimmages, and these players, who otherwise would not be asked to be on a team, receive coaching and practice time during the off-season from their school teams.
- It must be made clear by the coaches that the role of each team's “Practice Player” is just that, as a practice player.
- Practice Players shall not be permitted to participate in playing in any tournament without:
- -the team having 7 or less players in attendance for a single tournament
AND / OR
- receipt of the full dues payment by the Practice Player, after a permanent invitation to play for the team is made by the coach to become a "full player". This may occur if a player is needed due to another player "dropping out" of participating with the CCVC team.
- The -1 levels shall have no less than 8 players and no more than 11-12-13 players. However, there may be an occasion that the player quantity is revised to accomodate special circumstances and issues during any given season and on a case-by-case or team-by-team basis.
12. As a method of exchange for their service to the Club and since remuneration or compensation is not offered for any of the Executive Officer positions, the Board has approved a dues discount (in the 3/10/03 Board Meeting) of between 50% to 100%, for the Executive Board as outlined in the link Service Exchange.
13. In all cases, while these guidelines are in place and are to be followed with the purest intent, they are by no means absolute. CCVC works extremely hard to do “what makes sense” and “what is right” based on specific circumstances and conditions, as such, there will always be flexibility and adjustment on an as needed basis to fulfill the mission of the organization.
14. Confrontations or discrepancies in the player selection process shall be clarified and or mediated by the Club President and / or the Club Director. In the event no agreement can be made on player assignments, the Club President and / or the Club Director in consultation with the Lead Tryout Coach, and other needed resources and Coaches, as determined by the Club President and / or the Club Directorshall make a selection decision.
